Gist Clinic brings appointments, staff availability, clinic locations, services, waiting lists, and scheduling rules into one connected workflow.
Creating an Appointment
The standard appointment flow is:
Client → Clinic → Medical Staff → Service → Session Mode → Date → Available Slot
Additional information such as internal notes and appointment status can then be added where appropriate.
Calendar
The Calendar provides a visual view of scheduled appointments.
Available views include:
- Day
- Week
- Month
You can navigate to today, filter the schedule, preview appointments, and open appointment details according to your permissions.
Availability
Medical Staff availability determines when appointments can be scheduled.
Gist Clinic supports:
Flexible Range
Used when a Medical Staff member works during a range of time.
Fixed Blocks
Used when availability is organized around specific services and time blocks.
Multiple non-overlapping working periods can exist on the same day.
Breaks
Breaks can be added inside working periods to prevent appointments from being scheduled during unavailable times.
Special Days
Special Days allow temporary changes to a Medical Staff member’s normal schedule.
They can be used for situations such as adjusted working hours or date-specific scheduling changes.
Days Off
Days Off represent dates or date ranges where the Medical Staff member is unavailable.
A Day Off applies to the actual selected date rather than permanently disabling that weekday.
Waiting List
When the required appointment is not currently available, an authorized user may add the client to the Waiting List where appropriate.
Waiting List entries remain associated with the relevant scheduling context.
Gist Clinic does not automatically book a Waiting List client.
Authorized users can prepare an appointment when a suitable slot becomes available.
No Show and Late Cancellation
Gist Clinic can support clinic policies for:
- No Show
- Late Cancellation
Depending on your clinic settings, these events may create a penalty that can be applied to a later invoice.
Scheduling Conflicts
The scheduling engine evaluates the relevant Medical Staff availability, clinic, service, existing appointments, breaks, special scheduling rules, and other scheduling constraints.
This helps prevent conflicting bookings.
